By using Gyan Suite — including our website, Student App, and Teacher App — you agree to the collection and use of information as described in this policy. If you do not agree, please discontinue use of the platform.

1. Overview

Gyan Suite ("we", "our", "us") is committed to protecting the privacy of schools, staff, and students who use our Education ERP platform. This Privacy Policy explains what data we collect, how we use it, and how we protect it.

This policy applies to all services provided through gyansuite.in and our associated mobile applications:

  • Gyan Suite Student App — available on Google Play Store for students and parents
  • Gyan Suite Teacher App — available on Google Play Store for teachers and school staff

2. Information We Collect

2.1 Account Information

When you register a school account, we collect:

  • School name, address, and contact details
  • Administrator name and email address
  • Billing and payment information (processed securely via payment gateway)
  • Subscription plan details

2.2 School-Entered Data

Data entered into Gyan Suite by authorized school personnel, including:

  • Student records (name, date of birth, admission number, class, parent/guardian details)
  • Staff records (name, designation, department, employment details)
  • Fee records, attendance logs, and academic data
  • Email templates and communication logs

2.3 Usage Data

We automatically collect technical data when you use our platform or apps:

  • IP address, browser type, and operating system
  • Pages/screens visited, features used, and session duration
  • Error logs and performance data
  • Device type, model, and operating system version (mobile apps)
  • App version and crash reports

3. Mobile Apps — Data Practices

3.1 Gyan Suite Student App

The Student App allows students and parents/guardians to access school information linked to their enrolled student account. The app collects and processes:

  • Login credentials: Student ID / admission number and password set by the school
  • Profile data: Name, class, section, roll number, and profile photo (if uploaded by school)
  • Academic data: Attendance records, exam results, timetable, and homework/assignments
  • Fee information: Outstanding fees, payment history, and receipts
  • Notifications: Push notification token to deliver school announcements and fee reminders
  • Device information: Device model, OS version, and app version for support and compatibility

The Student App does not collect location data, contacts, SMS content, or any data unrelated to the student's school records.

3.2 Gyan Suite Teacher App

The Teacher App allows teaching and administrative staff to manage their school responsibilities on the go. The app collects and processes:

  • Login credentials: Staff ID and password assigned by the school administrator
  • Profile data: Name, designation, department, and profile photo (if uploaded)
  • Academic data: Class lists, student attendance, marks entry, timetables, and assignments
  • Communication data: Messages and announcements sent to students/parents through the platform
  • Notifications: Push notification token for school updates and task alerts
  • Device information: Device model, OS version, and app version for support and compatibility

The Teacher App does not collect location data, contacts, SMS content, or any data unrelated to the teacher's school responsibilities.

3.3 Data Storage

Both apps process data on Gyan Suite's secure servers. Minimal data may be cached locally on the device to allow offline viewing of recently loaded content. No sensitive personal data is stored permanently on the device. Cached data is cleared upon logout.

4. App Permissions

Our mobile apps request only the permissions necessary to deliver their features. Below is a breakdown of permissions used and why:

4.1 Student App Permissions

  • Internet Access — Required to connect to Gyan Suite servers and load school data.
  • Push Notifications — Used to send fee reminders, attendance alerts, and school announcements. You can disable notifications in your device settings at any time.
  • Storage / Media (optional) — Requested only if you choose to download fee receipts or reports to your device. Not requested by default.
  • Camera (optional) — Requested only if the school enables profile photo upload. Not requested by default.

4.2 Teacher App Permissions

  • Internet Access — Required to connect to Gyan Suite servers and manage school data.
  • Push Notifications — Used to send task reminders, school updates, and student alerts. You can disable notifications in your device settings at any time.
  • Storage / Media (optional) — Requested only if you choose to download reports or upload documents. Not requested by default.
  • Camera (optional) — Requested only if you choose to capture and upload student attendance photos or profile images. Not requested by default.

No app requests access to your contacts, call logs, SMS, precise location, microphone (except where school explicitly enables audio features), or any other sensitive permission beyond what is listed above.

5. How We Use Information

We use the information collected to:

  • Provide, operate, and maintain the Gyan Suite platform and mobile apps
  • Authenticate users and manage secure access to school data
  • Process subscription payments and manage billing
  • Send transactional push notifications and emails (OTPs, fee reminders, announcements)
  • Respond to support requests and customer queries
  • Improve platform and app features based on usage patterns
  • Ensure platform security and prevent unauthorized access
  • Generate crash reports and fix app stability issues
  • Comply with applicable laws and regulations

We do not use your school's student or staff data for advertising, profiling, or any commercial purpose beyond providing the agreed service. We do not sell user data to third parties.

6. Data Sharing

We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:

  • Service Providers: Trusted third-party vendors (cloud hosting, payment processing, push notification delivery, email delivery) who process data solely to provide services on our behalf and are bound by confidentiality agreements.
  • Google Play Services: The apps use Google Play Services for push notifications (Firebase Cloud Messaging). FCM device tokens are used solely for delivering in-app notifications and are not used for advertising.
  • Legal Compliance: When required by law, court order, or government authority.
  • Business Transfers: In the event of a merger or acquisition, your data may be transferred — you will be notified in advance.

7. Data Security

We implement industry-standard security measures to protect your data:

  • All data is transmitted over encrypted HTTPS/TLS connections
  • Databases are hosted on secured, access-controlled servers
  • Daily automated backups with off-site storage
  • Role-based access controls — staff and students see only what they are permitted to see
  • App sessions are secured with token-based authentication; tokens expire after inactivity
  • Regular security audits and vulnerability assessments

While we use all reasonable measures, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to protecting your data to the highest standard.

8. Data Retention

We retain your data for as long as your subscription is active. Upon account cancellation:

  • You may export all your school data before cancellation
  • Data is retained for 30 days post-cancellation to allow recovery
  • After 30 days, all data is permanently and securely deleted from our servers

For mobile app users: locally cached data is automatically cleared when you log out of the Student App or Teacher App. Push notification tokens are deleted when you uninstall the app or revoke notification permissions.

9. Account Deletion

We respect your right to have your data removed. Here is how account deletion works for each user type:

9.1 Student / Parent App Users

Student accounts in the app are created and managed by the school. To request deletion of your account and associated data:

  • Contact your school administrator and request that your student record be removed from Gyan Suite.
  • Alternatively, email us at privacy@gyansuite.in with your name, school name, and admission number. We will coordinate with the school and delete your data within 30 days.

9.2 Teacher / Staff App Users

Teacher accounts are managed by the school administrator. To request deletion:

  • Ask your school administrator to deactivate or delete your staff account from the Gyan Suite dashboard.
  • Alternatively, email privacy@gyansuite.in with your name, school name, and staff ID. We will process the deletion within 30 days.

9.3 School Administrator Accounts

To delete your school's entire account and all associated data, cancel your subscription from the account dashboard and request data deletion. All data will be permanently deleted within 30 days of confirmed cancellation.

Upon account deletion, all personal data including login credentials, profile information, and activity logs will be permanently removed from our servers. Cached data on your device is cleared upon logout; uninstalling the app removes any remaining local data.

10. Your Rights

As a data controller for your school, you have the right to:

  • Access: Request a copy of all data we hold about your school
  • Correction: Correct inaccurate or incomplete data
  • Deletion: Request deletion of your data (see Section 9 — Account Deletion)
  • Portability: Export your data in a standard format (CSV/Excel)
  • Objection: Object to certain types of data processing
  • Notification opt-out: Disable push notifications at any time via your device settings

11. Cookies

The Gyan Suite website uses essential cookies to operate the platform (session management, authentication). We do not use tracking or advertising cookies. You may disable cookies in your browser settings, but this may affect platform functionality.

Our mobile apps (Student App and Teacher App) do not use browser cookies. They use secure token-based authentication stored in the device's secure storage.

12. Children's Privacy

The Gyan Suite Student App may be used by students who are minors (under 18 years of age). We take children's privacy very seriously and comply with applicable child data protection laws.

  • Student accounts and data are created and managed exclusively by authorized school personnel — students do not self-register.
  • We do not knowingly collect personal information directly from children independently of school authorization.
  • We do not display advertising to students in the app.
  • We do not use student data for profiling, behavioral tracking, or any commercial purpose.
  • Student data entered into the platform is maintained under the school's responsibility as the data controller. The school is responsible for obtaining any required parental/guardian consents in accordance with local law.
  • Parents or guardians wishing to review or request deletion of their child's data should contact their school or email privacy@gyansuite.in.

The Gyan Suite Teacher App is intended for adults (school staff aged 18 and above) only.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered account holders via email and in-app notification at least 14 days before any material changes take effect. Continued use of Gyan Suite after the effective date constitutes acceptance of the updated policy.

The latest version of this policy is always available at gyansuite.in/privacy.php. This URL is also referenced in the Play Store listing for both the Student App and Teacher App.
